Invoicing Guide

What is an invoice?

An invoice is a formal request for payment after goods or services have been delivered. It includes a description of what was provided, the amount owed, and payment terms. Invoices create a legal record of the transaction.

What is the difference between an invoice, a quote, and a proforma?

A quotation is sent before work begins — it is a price offer. A proforma invoice is sent before delivery as a binding price commitment (used for customs or advance payments). An invoice is sent after delivery as the actual payment request.

What should every invoice include?

Your business name and address, your client's name and address, a unique invoice number, the issue date and due date, a description of goods or services, unit prices and quantities, subtotal, taxes, and total amount due. Bank details or payment instructions should also be included.

What is a document number format?

Fakturu uses the format INV/YYYY/MM/NNN — for example INV/2026/05/001. This makes it easy to sort by date and avoids duplicate numbers. QUO for quotations, PRF for proformas, DEL for delivery notes.

Using Fakturu

Do I need an account to generate a PDF?

No. Open the site, fill in your details, and click Download PDF. No account, no email, no credit card required. The PDF is generated entirely in your browser.

Why does my PDF have a "Generated by Fakturu" footer?

Guest users get the watermark footer. Create a free account to remove it. The watermark is never inside the document content — only in the footer line.

How do I upload my logo?

In the form, click "Drop your logo" or drag an image onto that area. PNG, SVG, and JPEG files up to 2 MB are supported. Your logo will appear in the PDF preview immediately.

How does the discount field work?

Click "+ Add discount" below the line items to reveal the Disc% column. Enter a percentage (e.g. 10 for 10%) per line item. The discount is applied to that item's subtotal. Leave it at 0 to skip the discount for that item.

Which currencies are supported?

Fakturu supports 44+ currencies including USD, EUR, GBP, IDR, SGD, JPY, CNY, INR, BRL, MXN, AED, ZAR, and more. Select your currency in the Invoice Details section of the form.

What does a free account give me?

A free account removes the PDF watermark, saves your last 10 documents, and gives you 10 Telegram AI documents per month. No credit card required.

What is the Telegram bot?

Connect your Fakturu account to Telegram, then send a message like "invoice sammy 5 chairs at $200 each" and the bot creates and sends back a professional PDF — without opening the browser. Free accounts get 10 AI docs/month. Paid plans get unlimited.

How do I cancel my subscription?

Log in → Settings → Billing → Cancel subscription. Your plan stays active until the end of the billing period. No cancellation fees.

Is VAT added to subscription prices?

Subscriptions are processed by LemonSqueezy, our Merchant of Record. They handle VAT, GST, and local sales taxes automatically based on your location.
